Telephone Calls & Referrals
|
In order to provide you with the best personal attention without going to an automated attendant, we have organized the following telephone system in our office: a phone operator will direct your call to the appropriate person to best accommodate your needs, either the Appointment Secretary or the Message Secretary.
The Appointment Secretary will assist you in scheduling the appropriate type of visit based on your medical need and the scheduling guidelines set by the office.
The Message Secretary will assist you in getting a written message to your physician as it pertains to illness, prescription or emergent needs.
All patients are encouraged to call with medical concerns. During business hours your medical care questions will be forwarded to the Doctors' Assistant. Our Doctors' Assistants have been trained to give routine medical advice, as directed by our physicians' guidelines. If you are ill, we prefer that you make an appointment. The best practice is not to treat illnesses over the phone.

Emergency and After Hours Care
|
One of our physicians is on call 24 hours a day for medical emergencies. After hours, you may reach a physician by dialing the main office number. The answering service will then forward the call and a physician will call you back as soon as possible. We request that you limit after hours calls to URGENT questions and emergencies. We strongly request that you call for prescription renewals during regular business hours. In order for our staff to be available to you on the phone and in the office, we cannot fax prescriptions to mail order pharmacies or pharmacy benefit managers.

Referrals / Managed Care
|
The referral coordinator is available to respond to managed care needs for patients covered by Aetna and Keystone HMO/Amerihealth, Monday thru Friday, 9:00am to 12 noon and 1:30pm to 4:15pm. When calling to request a referral, please give the referral coordinator the following information:
• Identify whether the referral is for you or one of your family members.
• The physician in our office that you usually see.
• The specialist and/or facility for which the referral is needed.
• The reason for the referral (diagnosis).
• If applicable, the procedure you are having performed and the place where the procedure is being done.
• A phone number where we can reach you if needed.
Please be aware that we need five business days notice to respond to your referral request.
You may also call after office hours when the referral coordinator is not available, and leave a message on the voice mail service. Please follow the guidelines as stated above for these requests.
In the event you access Emergency care at the hospital, please call the referral coordinator and your insurance company within 24 hours; please include details regarding the situation so the appropriate information can be documented in your chart.
Insurance company regulations require that your physician review all referral requests. The referral coordinators are skilled in securing the appropriate documentation to support your referral request expeditiously.
